Spaces

Spaces allow you to pin, and organise content from many different areas of the SQUIZZ.com platform. This allows for tailored dashboards or work spaces, set solely for you, or for teams, working groups, divisions, and other groups of people within organisations.

Within the SQUIZZ.com platform after signing up there is the ability for you to create and join "spaces". Each space can be used to pin content, such as feeds or conversations to a space. Spaces may also be known as "Dashboards", "Workspaces" or "Work Areas", and provide a useful tool add find content more quickly without having to navigate menus or dialogs consistently. Spaces can be shared between multiple people as well as organisation people groups. This can provide another collaboration tool to make it easier for teams of people to work with each other more efficiently and effectively.
Different spaces can be created with content of a similiar context, such as a "Work" space, a "Home" space, a "Holiday" space, or a "Project" space. How spaces are used and shared with the people and organisations is completely up to you.

Overview

Spaces aims to give you and the people around you quick access to everything you need from one location. Spaces provides the ability to pin different types of content to a space, which may also be known as a Dashboard. When content is pinned to space it is pinned within an area. The layout of the space and the position of where it's areas are pinned can be customised, allowing areas to be finely positioned based what's the most important to be seen first.

You can create many spaces, and this will help organise content for each of the different ways you use the platform, such as "Work", "Accounting", "Project A". You can invite your contacts to a space you are connected to, and you can also be invited into other spaces. Everyone connected to the space will be able to see the same area content, which makes it useful for sharing common data, workflows and collaboration between teams.

Organisations can also have their own spaces. Groups of people connected to an organisation can be assigned to different spaces. This can allow for departments, divisions, employees, customers, suppliers, shareholders, or any other groups of people connected to multiple organisations to see content and collaborate efficiently using shared spaces.

Space Details

Each space consists of areas pinned to the space displaying different content available within the platform. Additionally each space can have one or more people connected to the space who are allowed to view its contents. When content is pinned to a space, it does not automatically mean that all people assigned to the space can automatically access the content. They must still have access to the content, such if an organisation's data was pinned to a space, all people assigned to space may still need to be connected to the organisation have permission to view the pinned content.

To access a space, follow the steps below in Viewing A Space.
To update a space's information, follow the steps below in Modify An Existing Space's Details.

Space Fields

For each space the following fields can set:

  • Space Name
    Set a name that allows the space to be easily identified by people who can access the space. For example the space's name could be set based on the content that appears within the space, or based on an organisation's department, or other context, such as a space used between friends, work colleagues or inter-company collaboration.
     
  • Space Description
    Set a description for the space to provide additional details about the space, such as its reason for existing, or what content should be set within it.
     
  • Space Profile Image
    Each space can have an image file uploaded to it, allowing people to more easily recognise and identify the space. It supports PNG, JPEG and GIF images being uploaded for the space profile image, and the image may be cropped to ensure it is a square image.

Space People

Many people can be connected to a single space. Each person will be able to see the same areas pinned to the dashboard. This allows groups of people to share relevant information, tools and workflows in a common way. Each person can be set permissions on the space to determine what aspects of the space they are allowed to use and modify.

To add a person to a space, follow the steps in Add A Person To A Space.
To remove a person from a space, follow the steps in Remove A Person To A Space.

Space Organisations

Many organisations can be connected to each space, where one or more of an organisation's people groups can be assigned to a space. This allows any people connected to an organisation and assigned to one of its people groups, to gain access to any spaces that the organisation's people group is assigned to. This is perfect for when administrators of organisation want a lot of people to access an organisation's space without having to personally invite each person to a space. This is particularly useful when an organisation may be setting up a space for any of the following:

  • project 
  • department
  • customer base
  • supplier base
  • share holders
  • board members
  • fans

Because multiple organisations can be assigned to a space, spaces can be used for multi-organisation collaboration, such as big projects. Each organisation's people group assigned to a space can be set permissions that control what aspects of the space the people assigned to the people group are allowed to do.

Space Groups

When you are assigned to a space you have the ability to group all your spaces together, to make it easier for you find spaces. Within the Spaces menu you create new space groups, and then assign spaces to your space groups. Each of these spaces groups can only be seen and modified by you, and have no bearing of the activity happening in the space itself. When you are assigned to many spaces then space groups become very handy to help organise the spaces. For example you could create space groups to collate "work" related spaces, "personal" spaces, "friend" spaces, "project" spaces, and any other ways you can wish to label groups of spaces.

Additionally organisations can also have space groups, that allow spaces that the organisation's people groups that are assigned to be more easily be found. Similar to personal space groups you can create, modify and remove space groups for organisations. Only administrators of an organisation can modify its space groups.

Space Permissions

When you are personally assigned to a space, or when an organisation's people group is assigned to a space, there are a number of permissions that control what actions people can perform within the space. Below are the following list of permissions:

  • Allow modifying details of the space
    Allows people to modify the details of the space, including its name, description, and profile image.
     
  • Allow adding/modifying/removing areas within the space
    Allows people to add, modify, move, and remove areas within a space.
     
  • Allow modifying the permissions of the space
    Allows people to change the permissions of people assigned to a space, as well as the permissions of organisation people groups assigned to the space. This permission in effect gives people an administration role over a space.
     
  • Allow inviting people to the space
    Allows people to invite any of their contacts into a space. Note that if a person adds another person to the space it does not neccessarily grant them access to the content that is displayed within all areas of the space. That is independently determined based on who owns the data content displayed in the area and has given permission for it to be seen.
     
  • Allow removing people from the space
    Allows people remove any people currently connected to a space.
     
  • Allow inviting organisation people groups to the space
    Allows people to add an organisation and its people groups to a space. This in effect allows a group of people connected to an organisation to gain access to a space, without having to invite those people individually. Note that people can only invite organisations that they are connected to. The person adding the organisation needs to be assigned to a people group that has the "Add People Groups To Spaces" permission set to "Yes". Also they can only add their own people group, or other people groups within the organisation that they have permission to view.
     
  • Allow removing organisation people groups from the space
    Allows people to remove an organisation's people groups from a space. This in effect allows a group of people connected to an organisation to no long have access to a space, without having to remove those people individually.

Space Areas

Within a Space you will be able to see a dashboard containing all the areas that have been pinned to the space.

To pin an area to a space, look out for the pin button on different content such as a contact within your contacts list. Click the pin button to pin the content to your space dashboard.

Currently only a limited number of data can be pinned as areas within a space, but more data will become available to be pinned to a space over time.

Space Area Types

The following list contain all the different types of areas that can be embedded within a space.

  • Person Summary
    This area displays a summary about a person, and provides options for interacting with that person in different ways, depending on if you connected to the person or not. This area may help others in a space find people who are not yet contacts of theirs in the platform, handy for large teams, departments or cross organisation projects. This area can only be added to a space from the Contacts navigation menu, by finding and clicking on the pin button of a person you are connected to.
     
  • Conversation Summary
    This area displays a summary of a conversation, including the subject and last message posted within the conversation. Note that the contents of this area will only display to you if you are assigned to the conversation, or allowed access to it through an organisation's customer account that the conversation is to, and you have access to the organisation's customer account. This area can only be added to a space from the Conversations navigation menu, by finding and clicking on the pin button of a conversation.
     
  • Organisation Summary
    This area displays a summary of an organisation. The area will show if you are connected to the organisation, If you are not connected then you will have the option to personally connected to the organisation, or connect another organisation to it. If you are already connected to the organisation then the area will display buttons that allow you to access diferent aspects of the organisation, depending on the permissions you have been granted for the organisation.  This area can only be added to a space from the Organisations navigation menu, by finding and clicking on the pin button of an organisation.
     
  • Organisation Customer Account Summary
    This area displays a summary of a customer account that belongs to an organisation. The area will show overall details of the customer account, including its code, name, primary contact, and organisation it is associated with. The area will only load if you have access to the view the organisation's customer account, either because you are personally assigned to it, are assigned as a sales representative that is linked to the account, or you have permission to view all of the organisation's customer accounts.
    if you have permission to view the customer account then the area will also display buttons that allow to view or perform different actions on the customer account. This area can only be added to a space from the Accounts navigation menu, by finding and clicking on the pin button of a customer account.
     
  • Organisation Supplier Account Summary
    This area displays a summary of a  supplier account that belongs to an organisation. The area will show overall details of the supplier account, including its code, name, primary contact, and organisation it is associated with. The area will only load if you have access to the view the organisation's supplier account, either because you are personally assigned to it, are assigned as a purchaser that is linked to the account, or you have permission to view all of the organisation's supplier accounts.
    if you have permission to view the supplier account then the area will also display buttons that allow to view or perform different actions on the supplier account. This area can only be added to a space from the Accounts navigation menu, by finding and clicking on the pin button of a supplier account.
     
  • Organisation Issue Summary
    This area displays a summary of a issue that has been raised against an organisation. The area will show overall details of the issue, including its code, name, who it is assigned to, and buttons to view the issue in detail. The area will only load if you have access to the view the organisation's issue, either because you are personally assigned to it, are following it, or you have permission to view all of the organisation's issues.
    This area can only be added to a space from the Issues Search Listing dialog, by finding an issue in the issues list and clicking on the pin button of an issue.
     
  • Space Banner
    This area displays a banner that may contain heading text, subtitle text and a selected colour theme. This area can colour a space, as well as provide context to the other areas that appear in the space, or separate different areas. It can also be used to share additional information throughout the areas on the space.
     
  • Feed Summary
    This area displays the summary of either a person's feed, or an organisation feed. A feed represents the a collection of posts that may contain any news or information based on a certain topic or theme. The area shows a description of a feed, as well as links to view the feed's posts, as well as other feeds that belong to the person or organisation that owns the feed. This area makes it easier to find a feed without neccessarily having to navigate the Feeds menu.
     
  • Space Summary
    This area displays the summary of a space. It shows the space's profile image, its description, as well as a link to view the details of the space. This area makes it possible to group spaces together within a space itself. Allowing a collection of spaces to be organised and ordered, without neccessarily needed to navigate the Spaces menu.

Create A New Space

To create a new space follow the steps below:

  1. Login to the SQUIZZ.com platform from the Home page or mobile app.
  2. Click on the Spaces menu bar button (in small screens click on the Main Menu button first)
  3. Click on the Create Space button
  4. Enter the details of the new space:
    1. Space Name. The name of a space
    2. Description. A description about the purpose or contents of a space
    3. Group, which group the space should be assigned to for you. Groups can be created and then used to categorise spaces with similiar context, making it easier for you to find space in the future.
  5. Click the Save button

The space will be added to the list of your spaces, and by default you will have been given permission to modify all aspects of the space.

Alternative Steps

You can create a space an have it immediately be assigned to one of an organisation's people groups as well as personally to you. To do so you must first be connected to the organisation and be assigned to one of its People Groups that has the "Add People Groups To Space" permission set to Yes. Once you have permission then follow these steps:

  1. Login to the SQUIZZ.com platform from the Home page or mobile app.
  2. Click on the Organisations menu bar button (in small screens click on the Main Menu button first).
  3. Search through the organisations list and click on the Spaces button for the organisation you wish to view its spaces for.
  4. Click on the Create Space button
  5. Enter the details of the new space:
    1. Space Name. The name of a space
    2. Description. A description about the purpose or contents of a space
    3. Space Group. Select the space group the space should be assigned to initially. Groups can be created and then used to categorise spaces with similiar context, making it easier for people wihtin the organisation to find space in the future.
    4. People Group. Choose one of the organisation's people groups to initially assign to the space. Note that you will only be able to choose from people groups that you are allowed to view for the organisation.
  6. Click the Save button

The space will be added to the list of the organisation's space, and by default you will have been given permission to modify all aspects of the space, as well as the organisation's people group assigned to the space all will be given permission to modify all aspects of the space.

Assign, Unassign or Reassign An Existing Space To A Personal Space Group

To assign an existing space to one of your own space groups, you must first have access to the space, either because you are personally assigned to the space, or you're connected to an organisation and belong to one of its people groups that is assigned to the space. Once you have access follow the steps below to change the group that a space is assigned to:

  1. Login to the SQUIZZ.com platform from the Home page or mobile app.
  2. Click on the Spaces menu bar button (in small screens click on the Main Menu button first)
  3. Find the space you wish to change the group
  4. On the corresponding record, click the group name
  5. A dropdown will appear, select the new group you wish to assign the space to, or select unassigned if you do not want the space to be assigned to a group

The space will be assigned to your selected space group, making it easier for you to find the group in the future.

Assign, Unassign or Reassign An Existing Space To An Organisation's Space Group

To assign an existing space to a space group of an organisation's people groups, you must first be  connected to the organisation and have been set with the Administrator role. Once you have permission these follow these steps to assign the space to an organisation's space group.:

  1. Login to the SQUIZZ.com platform from the Home page or mobile app.
  2. Click on the Organisations menu bar button (in small screens click on the Main Menu button first).
  3. Search through the organisations list and click on the Spaces button for the organisation you wish to view its spaces for.
  4. Find the space you wish to change the group
  5. On the corresponding record, click the group name
  6. A dropdown will appear, select the new group you wish to assign the space to, or select unassigned if you do not want the space to be assigned to a group

The space will be assigned to the selected space group, making it easier for people connected to the organisation to find the group in the future. Note that multiple people groups of an organisation may be assigned to the same space. When this occurs you may want to assign each of the people groups to the relevent space group.

Remove An Existing Space Personally Assigned To You

If you no longer wish to be a part of a space that you are personally assigned to, you can remove it from your list of spaces. If no other people or organisation people groups are currently assigned to that space, then it will also be permanently deleted. If their are multiple people or organisation groups assigned to the space and you are the only person or group that has the "Allow modifying the permissions of the space" permission set to Allow, then you won't be able to be removed until another organisation's people group or person has the permissions to alter the space. This avoids spaces becoming uneditable.

Follow the steps below to remove an existing space:

  1. Login to the SQUIZZ.com platform from the Home page or mobile app.
  2. Click on the Spaces menu bar button (in small screens click on the Main Menu button first)
  3. Find the space you wish to remove
  4. Click the corresponding Remove button on the space record.
  5. Click OK to confirm you wish to remove the space.

The space will no longer appear in your list of spaces within the Spaces menu. If other people or organisations are still assigned to the space then it will continue existing for them, and they can invite you back to the space if in the future you have a need to access it against.

Remove An Existing Space From An Organisation's People Group

To remove an organisation's people group from a space, you must have one of the following permisions. 

  • Be connected to the space personally and have the "Allow removing organisation their people groups from the space" permission set to Allow. 
  • You are connected to the organisation and have been set with the Administrator role.
  • You are connected to the organisation, have been assigned to a people group that is also assigned to the space, and that people group has the "Allow removing organisation their people groups from the space" permission set to Allow.

Once you have permission follow the steps below to remove an organisation's people group from a space. Note that if no other people or organisation people groups are currently assigned to that space, then it will also be permanently deleted. If their are multiple people or groups assigned to the space and organisation's people group being removed is the only group or person that has the "Allow modifying the permissions of the space" permission set to Allow then the group won't be able to be removed until another people group or person has the permissions to alter the space. This avoids spaces being uneditable.

Follow the steps below to remove an existing space:

  1. Login to the SQUIZZ.com platform from the Home page or mobile app.
  2. Click on the Spaces menu bar button (in small screens click on the Main Menu button first)
  3. Find the space you wish to remove
  4. Click the corresponding Remove button on the space record.
  5. Click OK to confirm you wish to remove the space.

The space will no longer appear in your list of spaces within the Spaces menu. If other people or organisations are still assigned to the space then it will continue existing for them, and they can invite you back to the space if in the future you have a need to access it against.

Create A New Personal Space Group

To create a new space group that you can assign spaces to that you have personally been added to, follow these steps:

  1. Login to the SQUIZZ.com platform from the Home page or mobile app.
  2. Click on the Spaces menu bar button (in small screens click on the Main Menu button first)
  3. Click on the Create Group button
  4. Enter the details of the new space group:
    1. Group Name, the name of a group
  5. Click save

The space group will be added to the list of your groups and appear within the drop down of the Spaces menu.

Create A New Organisation Space Group

To create a new space group for an organisation that you can assign its spaces to, you must first be connected to the organisation and have be set with the Administrator role. Once you are an administrator of the organisation follow these steps to create a new space group for the organisation:

  1. Login to the SQUIZZ.com platform from the Home page or mobile app.
  2. Click on the Organisations menu bar button (in small screens click on the Main Menu button first).
  3. Search through the organisations list and click on the Spaces button for the organisation you wish to view its spaces for.
  4. Within the opened Spaces menu click on the Create Group button
  5. Enter the details of the new space group:
    1. Group Name, the name of a group
  6. Click the Save button

The space group will be added to the list of space groups that exist for the organisation and the new group will appear within the drop down of the Spaces menu.

Modify An Existing Personal Space Group

To modify an existing space group that you have personally created for yourself, follow the steps below:

  1. Login to the SQUIZZ.com platform from the Home page or mobile app.
  2. Click on the Spaces menu bar button (in small screens click on the Main Menu button first)
  3. Click on the group dropdown filter and select the group you wish to modify
  4. Click the Modify Group button
  5. Update the details of the group
  6. Click save

The group will be updated with the new details and its name updated within the drop down in the Spaces menu.

Modify An Existing Organisation's Space Group

To modify an existing space group for an organisation, you must first be connected to the organisation and have be set with the Administrator role. Once you are an administrator of the organisation follow these steps to modify the organisation's space group.

  1. Login to the SQUIZZ.com platform from the Home page or mobile app.
  2. Click on the Organisations menu bar button (in small screens click on the Main Menu button first).
  3. Search through the organisations list and click on the Spaces button for the organisation you wish to view its spaces for.
  4. Click on the group dropdown filter and select the group you wish to modify
  5. Click the Modify Group button
  6. Update the details of the group within the form inputs.
  7. Click on the Save button

The group will be updated with the new details and its name updated within the drop down in the Spaces menu.

Remove An Existing Personal Space Group

If you no longer require a space group that is personally assigned to you can remove it. If any spaces are assigned to the group you want to remove, at the time of removing the group you will be given the option to reassign them to another group.

Follow the steps below to remove an existing space group:

  1. Login to the SQUIZZ.com platform from the Home page or mobile app.
  2. Click on the Spaces menu bar button (in small screens click on the Main Menu button first)
  3. Click on the group dropdown filter and select the group you wish to remove
  4. Click the Remove Group button
  5. Optionally select a group to reassign
  6. Click Delete

The space group has been deleted, and any spaces that were assigned to it will be reassigned to the group you selected.

Remove An Existing Organisation's Space Group

To remove an existing space group for an organisation, you must first be connected to the organisation and have be set with the Administrator role. Note that if any spaces are assigned to the group you wish to remove, at the time of removing the group you will be given the option to reassign them to another group.Once you are an administrator of the organisation follow these steps to remove an organisation's space group:

  1. Login to the SQUIZZ.com platform from the Home page or mobile app.
  2. Click on the Organisations menu bar button (in small screens click on the Main Menu button first).
  3. Search through the organisations list and click on the Spaces button for the organisation you wish to view its spaces for.
  4. Click on the group dropdown filter and select the group you wish to remove
  5. Click the Remove Group button
  6. Optionally select a group to reassign
  7. Click on the Delete button

The space group will be permanently deleted. Any spaces assigned to it will be reassigned to the group you selected. If no group is selected then the spaces assigned to the organisation will be reassigned to the "Unassigned" space group.

View A Space You Are Personally Assigned To

To view the details of a space that you have been personally assigned to and have access to view, follow these steps below:

  1. Login to the SQUIZZ.com platform from the Home page or mobile app.
  2. Click on the Spaces menu bar button (in small screens click on the Main Menu button first)
  3. Find the space you wish to view
  4. Click the View button

The Space will load within the main content of the page, allowing you to view the areas pinned to the space, as well as the people and organisation people groups assigned to the space.

View A Space That An Organisation Is Assigned To

To view the details of a space that an organisation is assigned to you must first be connected to the organisation, and be assigned to one of the organisation;s People Groups that has been assigned to the space. Once you have these permissions to view an organisation is assigned to follow the steps below:

  1. Login to the SQUIZZ.com platform from the Home page or mobile app.
  2. Click on the Organisations menu bar button (in small screens click on the Main Menu button first).
  3. Search through the organisations list and click on the Spaces button for the organisation you wish to view its spaces for.
  4. Within the Spaces menu search for the space you wish to view.
  5. Click the View button

The Space will load within the main content of the page, allowing you to view the areas pinned to the space, as well as the people and organisation people groups assigned to the space.

Modify An Existing Space's Details

To modify the details an existing space that you have access to, you must first be assigned to the space and have the "Allow modifying details of the space" permission set to "Allow". Alternatively you need to be connected to organisation and assigned to one of its People Groups and the group is assigned to the space with the "Allow modifying details of the space" permission set to allow. Once you have permission follow these steps below to update the details of the space:

  1. Login to the SQUIZZ.com platform from the Home page or mobile app.
  2. Click on the Spaces menu bar button (in small screens click on the Main Menu button first).
    OR
    Click on the Organisations menu bar button, find an organisation assigned to the space and click on its Spaces button.
  3. Wihin the Spaces menu find the space you wish to modify
  4. Click on space's View button
  5. Click the Modify Space button
  6. Update the details of the space within the form imputs.
  7. Click on the Save button

The space details will be updated and the name and description will be changed within the Space's detail page, as well as within the Spaces menu when next reloaded.

Change The Profile Image Of A Space

To change the profile image of an existing space that you have access to, you must first be assigned to the space and have the "Allow modifying details of the space" permission set to "Allow". Alternatively you need to be connected to organisation and assigned to one of its People Groups and the group is assigned to the space with the "Allow modifying details of the space" permission set to allow. Once you have permission follow these steps below to change the profile image of the space:

  1. Login to the SQUIZZ.com platform from the Home page or mobile app.
  2. Click on the Spaces menu bar button (in small screens click on the Main Menu button first)
    OR
    Click on the Organisations menu bar button, find an organisation assigned to the space and click on its Spaces button.
  3. Find the space you wish to view
  4. Click on the View button
  5. Once the space has loaded click on the Change Space Profile Image button.
  6. Select a jpeg, png, or gif file on your computer that is less than 2MB in size.

The image file will be uploaded against the space, and if successfully uploaded a message will confirm that the space image has changed. The space's profile image will change, as well as within the Spaces menu when it's reloaded.

Add A Person To A Space

To add a person you are a connected to, to an existing space that you have access to, you must first have the "Allow inviting people to the space" permission set to Allow for you, or an organisation's people group that you are assigned to and is assigned to the space must have the permission set to allow. Once you have permission follow these steps below to add a person to a space:

  1. Login to the SQUIZZ.com platform from the Home page or mobile app.
  2. Click on the Spaces menu bar button (in small screens click on the Main Menu button first)
    OR
    Click on the Organisations menu bar button, find an organisation assigned to the space and click on its Spaces button.
  3. Find the space you wish to add a person to
  4. Click on the View button
  5. Click on the People tab
  6. Under the Add Person heading, type the name of the person you wish to add in the text input
  7. Once you find the person you wish to add, click their name within the auto-complete  (or use the arrow keys to select it and press enter). If the autocomplete does not display under the text input then check that you are connected to the person.

A message will display if the person was successfully added to the space, as well as within the Space's People tab the person will now appear in the list of people connected to the space. By default the person just added to space will only have permission to view the space and not modify any other aspects of the space.

Remove A Person From A Space

To remove a person from an existing space that you have access to, you must first have the "Allow removing people from the space" permission set to Allow for you, or an organisation's people group that you are assigned to and is assigned to the space must have the permission set to allow. Once you have permission follow these steps below to remove a person from a space:

  1. Login to the SQUIZZ.com platform from the Home page or mobile app.
  2. Click on the Spaces menu bar button (in small screens click on the Main Menu button first)
    OR
    Click on the Organisations menu bar button, find an organisation assigned to the space and click on its Spaces button.
  3. Find the space you wish to remove a person from
  4. Click on the View button
  5. Click on the People tab
  6. Under the People heading, find the person you wish to remove
  7. Click on the Remove button for that person

A message will display if the person was successfully removed, as well as the person no longer appearing within the list within the space's People tab. Note that you cannot remove a person if they are the only person (or organisation people group) assigned to the space that has permission to alter the permissions of the space.

Add An Organisation's People Group To A Space

For each space there is the ability to add organisations to the space, and more specifically add several People Groups of the organisation to a space. This allows all the people connected to the organisation who are assigned to a People Group to then get access to the space, without having to assign the people individually to each space. This is very powerful in situations when an organisation is consistently connecting, employing, moving, terminating or disconnecting with its people, since it allows Human Relations or other managerial staff to grant/rescind access to spaces just by assigning a person to the correct group.

To add an organisation's people group to a space the following criteria needs to be met:

  1. You must be connected to the organisation
  2. You must be connected to one of the organisation's people groups
  3. You must be connected to one of the organisation's people groups that has the permission "Add People Groups To Spaces" set to Yes.
  4. The organisation's people group that you assigned to must be able to view the people group that you are adding to the space
  5. You are either personally assigned to the space and have the "Allow inviting organisations their people groups to the space" permission set to Allow, or you are assigned to an organisation's people group that is assigned to the space and has the same permission set to allow

Once you have permission follow these steps below to add an organisation's people group to a space:

  1. Login to the SQUIZZ.com platform from the Home page or mobile app.
  2. Click on the Spaces menu bar button (in small screens click on the Main Menu button first)
    Alternatively
    Click on the Organisations menu bar button (in small screens click on the Main Menu button first), then for the organisation the space is already linked to click on the Spaces button.
  3. Find the space you wish to add an organisation's people group to
  4. Click on the View button
  5. Click on the Organisations tab
  6. Under the Add Organisation heading, type the name of the organisation you wish to add in the text input
  7. Once you find the organisation you wish to add, click their name within the auto-complete  (or use the arrow keys to select it and press enter). If the autocomplete does not display under the text input then check that you are connected to the organisation.
  8. Click on the "Select People Of Organisation To Add" drop down to view the list of people groups that you are allowed to add to the space.
  9. Select one of the people group to add to the space.

A message will display if the organisation's people group was successfully added to the space, as well as within the Space's Organisations  tab the group will now appear in the list of groups connected to the space. By default the organisation people group just added to space will only have permission to view the space and not modify any other aspects of the space.

Remove An Organisation's People Group From A Space

To remove an organisation's people group from a space you need to be either personally assigned to the space and have the "Allow removing organisation their people groups from the space" permission set to Allow, or you are assigned to an organisation's people group that is assigned to the space and has the same permission set to allow

Once you have permission follow these steps below to remove an organisation's people group from a space:

  1. Login to the SQUIZZ.com platform from the Home page or mobile app.
  2. Click on the Spaces menu bar button (in small screens click on the Main Menu button first)
    OR
    Click on the Organisations menu bar button, find an organisation assigned to the space and click on its Spaces button.
  3. Find the space you wish to add a person to
  4. Click on the View button
  5. Click on the Organisations tab
  6. For the group that you wish to remove click on the Remove button 
  7. Within the confirmation dialog click the OK button

A message will display if the organisation's people group was successfully removed from the space, as well as within the Space's Organisations  tab the group will no longer appear in the list of groups connected to the space. Any people who were previously accessing the space based on being solely assigned to the organisation people group now removed, they will no longer be able to access the space. Not that an organisation's people group will not be allowed to be removed from a space if it is the only group or person that has the "Allow modifying the permissions of the space" permission set to Allow, when there are multiple people or people groups assigned to the space.

Remove An Area From A Space

To remove an area from an existing space that you have access to, you must first have the "Allow adding/modifying/removing areas within the space" permission set to Allow for you, or an organisation's people group that you are assigned to and is assigned to the space must have the permission set to allow. Once you have permission follow these steps below to remove an area from a space:

  1. Login to the SQUIZZ.com platform from the Home page or mobile app.
  2. Click on the Spaces menu bar button (in small screens click on the Main Menu button first)
    OR
    Click on the Organisations menu bar button, find an organisation assigned to the space and click on its Spaces button.
  3. Find the space you wish to remove an area from
  4. Click on the View button
  5. Within the Space tab, find the area you wish to remove
  6. Click the Remove button within the area's header
  7. Within the confirmation overlay click the Confirm button.

The area will be removed from the space and the area will no longer be viewable by any other people within the space. Note that the content within the removed area may still be accessible to people who would normally have access to the content if it was found elsewhere within the platform.

Modify The Area Layout Of A Space

To modify the area layout of an existing space that you have access to, you must first have the "Allow adding/modifying/removing areas within the space" permission set to Allow for you, or an organisation's people group that you are assigned to and is assigned to the space must have the permission set to allow. Once you have permission follow these steps below to move an area within a space:

  1. Login to the SQUIZZ.com platform from the Home page or mobile app.
  2. Click on the Spaces menu bar button (in small screens click on the Main Menu button first)
    OR
    Click on the Organisations menu bar button, find an organisation assigned to the space and click on its Spaces button.
  3. Find the space you wish to modify
  4. Click on the View button
  5. Within the Space tab, you will be able to see the areas of the space
  6. An area can be moved by clicking on the Move icon in the area, this toggles the area to be in Move mode.
  7. Click on and hold down on the area then drag its contents over another area. The other area will show a green border to denote that it can be moved into its position.
  8. Release the mouse button to drop the area into it's new position. The space's areas will re-organise themselves with the area in its new position. The area will automatically exist its Move mode. You can also manually exit the area's Move mode by clicking on the Move icon again.

Note: If you are unable to see area controls such as the Move button, then this means that you do not have permission to modify areas within that space. If the area's layout position was successfully updated a message will appear advising as such. When another person reloads the space they will be to set the new layout of the space.

Pin An Area From One Space To Another Space

Within the details of a space, for any areas loaded within the space there is the ability to pin an area to a different space. This makes it easier to move areas between spaces without neccessarily needing to navigate the platform's menus. To pin an area from one space to another you must first be either personally assigned to the space of the area you wish to pin, or you have access to the space via an organisation that you are connected to via one of it's people groups. Additionally to pin the area to the other space, in the other space you need the "Allow adding/modifying/removing areas within the space" permission set to Allow for you, or an organisation's people group that you are assigned to. Once you have permission follow these steps below to pin an area from a space to another space:

  1. Login to the SQUIZZ.com platform from the Home page or mobile app.
  2. Click on the Spaces menu bar button (in small screens click on the Main Menu button first)
    OR
    Click on the Organisations menu bar button, find an organisation assigned to the space and click on its Spaces button.
  3. Find the space that contains the area you wish to pin
  4. Click on the View button
  5. Within the Space tab, you will be able to see the areas of the space
  6. Click on the Pin icon of the area you wish to pin to another space.
  7. Within the Pin Area To Space dialog choose the Space that you wish to pin the area to.
  8. Click on the Save button.

The area will be added to the selected space and appear at the bottom of the space's area list. Note that the area will still appear in the space that it originally belongs to. If you have permission you may wish to remove the area from the original space if it no longer needs to appear. View the section above on how to do this.
