Orgnisations Connecting With People and Employees

Prerequisites

Before reading on please ensure that you have understood the following topics:

Overview

Within the SQUIZZ.com there is the ability for people to connect with your organisation once it has been registered within the platform. After a person has found your organisation through either the organisation search or anywhere the organisation's name appears for them in the platform, they can make a request to connect personally with your organisation. Once this connection request has been accepted by an authorised person already connected in your organisation (such as another employee or administrator), then the person will appear within the People area in your organisation's profile.

Note that only people can choose to connect to your organisation in the platform. Organisations cannot make requests to connect with people, since otherwise this could cause people to receive unwanted connection requests, also known as getting "spammed".

People can choose to connect personally as themselves, or as an employee to an organisation. If they decide to connect as an employee then you can ask them provide an employee code when creating a connection request. This then allows their request to be validated against the code you expect them to give, and only when the correct code is provided can you choose to accept their connection request.

Once a person is connected to an organisation they can be assigned to a People Group. Each People Group has permissions that grant control over different aspects of the organisation, across all the people assigned to each group. For example one group may allow people to raise sales orders for any of its customers, where as another group may restrict its people to only view the minimal details about the organisation. People Groups also make it easier to find different people assigned to an organisation, especially if it contains 100s or 1000s of employees, individual customers, or followers.

Person's Relationship Details With An Organisation

Once a person is connected to your organisation and you can set the following information about their relationship with the organisation.

  • Roles
    You can assign a person to one or more roles. Each role gives the person additional permissions and access to features to control the organisation.
     
    • Employee
      Specifies that the person is an employee of the organisation. If selected it allows the organisation to be listed within the person's list of current or past employment. It also allows the person to assign the organisation to any of the conversations they are assigned to, as well post messages with their employment position displaying above the message (similar to an Email signature).
       
    • Sales Representative
      Specifies the person is allowed to sell the organisation's products. Sales representatives may be allowed to create sales orders on behalf of selected customers, or create sales orders for any customers, based on the permissions they are granted by the People group they are assigned to. Sales representatives typically set up and maintain relationships with the organisation's customers and create opportunities for the organisation to make money.
       
    • Purchaser
      Specifies that the person is allowed to buy on behalf of the organisation. Purchasers may be allowed to create purchase orders on behalf of selected suppliers, or create purchase orders from any suppliers, based on the permissions they are granted by the People group they are assigned to. Purchasers may find new suppliers to purchase products and assets for the organisation, as well as manage existing relationships with suppliers.
       
    • Administrator
      Specifies that the person is allowed to modify all aspects of the organisation within platform, regardless of the People Group they are assigned to. This includes modifying organisation settings, accepting connection requests, configuring relationships with organisations and people, and other tasks such as setting organisation images. It is recommend that only a very limited amount of people are designated as administrators. Additionally it is recommended that more than one person is an administrator of an organisation, so that if one administrator forgets their details to login to the platform, that another person can manage the organisation and assign another person as an administrator.
       
  • People Group
    Set a People Group that the person is assigned to. The people group determines the permissions, data, and features that the person can access for the organisation.
     
  • Data Sharing Policy
    Set the Data Sharing Policy that the person is assigned to. The data sharing policy controls what kinds of organisation data the person can see and use. It controls the product data the person can view, as well as the products they are allowed to buy off the organisation. If the Data Sharing Policy is set to the default policy, then the data sharing policy assigned the People Group that the person is assigned to will control the data the person uses. If the People Group's data sharing policy is set the the default policy then the Data Sharing Policy marked as the default for the organisation will be used to control the organisation data the person can see and use.
     
  • Position Title
    If the person is set as an employee, then you can set the title of the position they hold within the organisation. This position title will display in the person's list of employment, so it is recommended to set a title that reflects their current employment.
     
  • Position Description
    If the person is set as an employee, then you can set the description of the position they hold within the organisation. This position description will display in the person's list of employment, so it is recommended to set a description that accurately reflects the work and responsibilities they perform within their position in the organisation.
     
  • Start Year
    If the person is set an employee, then you can set the year when they started working for the organisation. The start year of their employment position will display in the person's list of employment.
     
  • Start Date
    If the person is set an employee, then you can set the date when they started working for the organisation. The start date of their employment position will display in the person's list of employment.
     
  • End Year
    If the person is set an employee and they are no longer working for the organisation, then you can set the year when they stopped working for the organisation. The end year of their employment position will display in the person's list of previous employment.
     
  • End Date
    If the person is set an employee and they are no longer working for the organisation, then you can set the date when they stopped working for the organisation. The end date of their employment position will display in the person's list of previous employment.
     
  • Set An Email With Organisation
    If the person has an Email account issued to them by the organisation then select this option.
     
  • Email
    If the person has an Email account issued to them by the organisation then set their email address. This may help other employees and people find the person's work related Email address so they can send them an Email.

Sales Representatives

For each person connected to the organisation you can assign them to one or more "sales representatives". In the organisation relationship If the person's role has the sales representative option selected, then the person may be able to create sales orders against the organisation's customer accounts that their assigned sales representative records are assigned to. Additionally the person may be able to see any conversations that have been assigned the customer accounts that their assigned sales representatives are assigned to. Typically you would only assign sales representative records to a person if they were employed in the organisation, or have been given permission to manage a number of the organisation's customers.

When a sales order is sent to any connected external business systems the sales representative may be assigned to the order to indicate who created the order. 

People assigned to sales representative records may be able to search for invoices, sales orders, back orders, credits, payments or transactions that are linked to the customer accounts that their sales representatives are assigned to within the organisation's business system that has been set up for SQUIZZ.com to make requests to. The person may also be able to pay for invoices associated with the customer accounts they are able to access.

Purchasers

For each person connected to the organisation you can assign them to one or more "Purchasers". In the organisation relationship If the person's role has the purchaser option selected, then the person may be able to create purchase orders against the organisation's supplier accounts that their assigned purchaser records are assigned to. Typically you would only assign purchaser records to a person if they were employed and have the responsibility of purchasing on behalf of the organisation, or have been given permission to manage a number of the organisation's suppliers.

When a purchaser order is sent to any connected external business systems the purchaser may be assigned to the order to indicate who created the order. 

Customer Accounts

Each person can be assigned to one or more of the organisation's customer accounts. This then allows the person to buy off the organisation based on the terms and pricing assigned to the customer account. The person could use their assigned customer accounts to personally buy off your organisation based on agreed terms and pricing, otherwise the person could be assigned to the customer account to manage buying off an organisation that the person is connected to. Any customer accounts assigned to the person will appear in their accounts menu, making it easy to find the account.

For any customer accounts that a person is assigned to they may be able to see any conversations the customer account is assigned to. Additionally they may be able to search for invoices, sales orders, back orders, credits, payments or transactions that are linked to the customer account within the organisation's business system that has been set up for SQUIZZ.com to make requests to. The person may also be able to pay for invoices associated with the customer account.

Supplier Accounts

Each person can be assigned to one or more of the organisation's supplier accounts. This then allows the person to create purchase orders against the organisation's supplier accounts and make purchases on behalf of the organisation. The person could use their assigned supplier accounts to personally record purchases for your organisation, otherwise the person could be assigned to the supplier account to manage selling off an organisation that the person is connected to. Any supplier accounts assigned to the person will appear in their accounts menu, making it easy to find the account.

For any supplier accounts that a person is assigned to they may be able to search for purchase orders or invoices that are linked to the supplier account within the organisation's business system that has been setup for SQUIZZ.com to make requests to.

People Groups

When people connect to an organisation they can be placed into "People Groups" that allow the people to more easily be found, as well as controlling the access and features that they can access with the organisation. It is important that when people request to connect to an organistaion personally or as an employee, at the time their connection is approved they are assigned to the correct People Group. This is important because it is the organisation's people group that controls the permissions, data and responsibilities that the people assigned to the group are granted. At any time administrator people of an organisation can reassign a connected person to different People Group for their organisation. This then may change the permissions of that person and the data they can access.

Default People Groups

When an organisation is first registered the following people groups are created default, these are:

  • Admins
    People who are administrators of the organisation and have permission to modify settings, data, and relationships within the organisation.
     
  • Employees
    People who currently work for the organisation.
     
  • Guest People
    People who are not connected to the organisation, or are connected on a temporary basis. By default this people group is the default group used to control permissions for people not connected to the organisation.
     
  • Purchasers
    People who buy on behalf of the organisation.
     
  • Restricted People
    People who are limited to only accessing a very limited amount of data and features associated with the organisation.
     
  • Retail Customers
    People who buy off the organisation at the retail level.
     
  • Sales Representatives
    People who sell on behalf of the organisation.
     
  • Supplier People
    People who supply goods or services for the organisation.
     
  • Trade Customers
    People who buy off the organisation at a trade, or business-to-business level.
     
  • Unassigned
    People connected to the organisation who have not been assigned to any other group.

For your organisation you may change or remove these default groups, as well as add more people groups based on the kind of relationships that your organisation has with a number of people.

Data Sharing Policy

Set the data sharing policy that controls what kinds of data all people assigned to the group can see and use (unless a persona has been explicitly assigned to another data sharing policy). The assigned data sharing policy controls the product data that a connected people in the group can view, as well as the products the people are allowed to buy, and export data from. If the group's data sharing policy is set the the default policy then the data sharing policy marked as the default for the organisation will be used to control the data that the people assigned to the group can see and use.

People Group Permissions

For each people group the following list of permissions can be set to control the data, features, and responsibilities that people assigned to the group can do for the organisation.

  • View Locations
    Allows people in the group to view the geographic locations where the organisation is found.
     
  • Modify Locations
    Allows people in the group to create and modify the geographic locations where the organisation is found.
     
  • Delete Locations
    Allows people in the group to delete existing geographic locations where the organisation is found.
     
  • View Posts
    Allows people to view any messages posted within the organisation's feeds.
     
  • Add Posts
    Allows people in the group to post messages to the organisation's feeds.
     
  • Delete Posts
    Allows people in the group to delete messages posted with the organisation's feeds.
     
  • Manage Feeds
    Allows people in the group to create, modify or delete the organisation's feeds.
     
  • View People Assigned To Their Group
    Allows a person assigned to the group to see the other people assigned to the same group.
     
  • View People Assigned To Other Groups
    Allows people assigned to the group to see people assigned to other groups.
     
  • Connect People
    Allow people in the group to accept other people connecting with the organisation.
     
  • Disconnect People
    Allows people in the group to disconnect other people currently connected to the organisation.
     
  • Modify Persons Details
    Allows people in the group to modify the relationship details of people connected to the organisation.
     
  • View People Shared Data With Organisation
    Allows people in the group to view the personal details of other people connected to the organisation, based on details that the person has allowed to share with the organisation.
     
  • View All Customer Accounts
    Allows people in the group to view all customer accounts that have been imported for the organisation.. Each customer account defines a customer who may purchase goods and services from the organisation.
     
  • View All Supplier Accounts
    Allows people in the group to view all supplier accounts that have been improted by the organisation. Each supplier account defines a supplier who may provide goods and services to the organisation.
     
  • View Connected Organisations
    Allows people in the group to view the organisations that are connected to the organisation.
     
  • Connect Organisations
    Allows people in the group to connect the organisation to other organisations, as well as accept organisation connection requests.
     
  • Disconnect Organisations
    Allows people in the group to disconnect organisations that are connected to the organisation.
     
  • Modify Connected Organisations
    Allows people in the group to modify to relationship details of organisations connected to the organisation. This includes being able to assign customer accounts and supplier accounts to organisations.
     
  • View Marketplaces
    Allows people in the group to view the marketplaces that the organisation in connected in.
     
  • Connection Organisation To Marketplaces
    Allows people in the group to connect the organisation to different marketplaces.
     
  • Disconnect Organisation From Marketplaces
    Allows people in the group to disconnect the organisation from marketplaces.
     
  • Submit Sales Orders
    Allows people in the group to create sales orders and submit them to the organisation.
     
  • View All Sales Orders
    Allows people in the group to view all the sales orders created for the organisation.
     
  • Administer Sales Orders
    Allows people in the group to permission to perform administration tasks on sales orders, such as sending a sales order to an external business system or freight provider.
     
  • Modify Sales Order Pricing
    Allows people in the group to modify the pricing of products within a sales order.
     
  • View Customer Account Records
    Allows people in the group view all the customer accounts assigned to the organisation.
     
  • View Supplier Account Records
    Allows people in the group to view all the supplier accounts assigned to the organisation.
     
  • Submit Purchase Orders
    Allows people in the group to create and submit purchase orders to the organisation.
     
  • View All Purchase Orders
    Allows people in the group to view all of the organisation's purchase orders.
     
  • Administer Purchase Orders
    Allows people in the group to permission to perform administration tasks on purchase orders, such as sending a sales order to an external business system.
     
  • Modify Purchase Order Pricing
    Allows people in the group to modify the pricing of products within a purchase order.
     
  • Purchase On Behalf Of The Organisation
    Allows people in the group to buy goods and services for the organisation off other organisations.
     
  • Create Issues
    Allows people in the group to submit new issues/reports/feedback from the organisation's issue profiles.
     
  • View Any Issues
    Allows people in the group to view any issues/reports/feedback submitted to the organisation.
     
  • Comment Any Issues
    Allows people in the group to comment on any issues/reports/feedback submitted to the organisation.
     
  • Modify Any Issues
    Allows people in the group to modify the details on any issues/reports/feedback submitted to the organisation.
     
  • Delete Any Issues
    Allows people in the group to delete any issues/reports/feedback submitted to the organisation
     
  • Modify Issue Profiles
    Allows people in the group to create, modify, or delete any issue profiles submitted to the organisation that control the issues/reports/feedback forms that people can fill out.
     
  • Log Work Against Issues
    Allows people in the group to log work against any issues/reports/feedback submitted to the organisation
     
  • View/Upload Allowed Issue Attachments
    Allows people in the group to view, upload, and delete file attachments raised against any issues/reports/feedback forms if the issue's Issue Type allows attachments to be set against the issue.
     
  • Submit Supplier Invoices
    Allows people in the group to create and submit supplier invoices to the organisation.
     
  • View All Supplier Invoices
    Allows people in the group to view all of the organisation's supplier invoices
     
  • Administer Supplier Invoices
    Allows people in the group to permission to perform administration tasks on supplier invoices, such as sending a supplier invoice to an external business system.
     
  • Modify Supplier Invoices
    Allows people in the group to modify the details within a supplier invoice.
     
  • Add People Groups To Spaces
    Allows people in the group to add their assigned People Group to spaces. This allows both the organisation, and more specifically people within the organisation's group to gain access to spaces that may contain data and content relevent to the group's assigned people.

Get Employees To Connect With Your Organisation

To have the employees connect with your organisation they first need to have signed up to the SQUIZZ.com platform. If they have not signed up then you will need to send them a personal invite to join the platform, which can be done through the "Add Contact" feature within the Contacts menu.
Once they have signed up then you need to advise them find your organisation and make a connection request to connect as an employee. They can do this by using the organisation search on the Home page, or by giving them the URL of the organisation's profile within the platform.

Employee Code

When a person makes a request to connect to the organisation as an employee, they can optionally provide an "Employee Code". This code will then appear in the connection request and allow the people in the organisation who have permission to accept connection requests to verify that the code given matches the code that was provided to the employee. You can come up with any kind of employee codes you want, but here are a few recommendations on how to create good ones:

  • Create codes that are unique for each employee. This makes it harder for employees to pass the same code around.
  • Create codes that are long and have multiple words, or a random combination of letters, numbers and special characters. The longer and harder it is to the type the code the less chance others can guess the employee code.
  • Send codes to employees through secure mediums such as encrypted files, offline methods such as paper, or verbally.
  • Once an employee has successfully connected record that their code can no longer be used. This can avoid people with the same name trying to connect to the organisation as employees multiple times.

Verify Employees Before Accepting Connections

Once a person has made a request to connect as an employee, you may wish to verify the person before accepting their connection request. Multiple people may exist within the platform with the same name, so it is important that you check that the employee is who they say they are before accepting their connection. We would recommend doing the following checks before accepting an employee:

  • Check if a person is already connected to the organisation with the same name.
  • Check that they have provided an employee code, and if so check that it is the correct code that they are allowed to give.
  • Ask the employee if they had sent the connection request.

Only once you are confident of the person should you accept an employee connection. You may wish to initially assign the person to a People Group within the organisation that has restrictive permissions, and only when you are confident of the person assign them to a People Group that gives the person more access to the organisation's data or responsibilities to manage the organisation.

Accept Or Decline A Person's Connection Request To Your Organisation

When a person requests to connect with your organisation, their request can either be accepted or declined by another person already connected to the organisation who is either an administrator, or assigned to a People Group that has the "Connect People" permission set to Yes. When this occurs these authorised people will be able to see the connection request from within the Organisations menu, or receive a notification if they are allowed to be sent the organisation's notifications. If you are allowed to see the organisation's connection requests follow these steps below to resolve these requests:

  1. Login to the SQUIZZ.com platform from the Home page or mobile app.
  2. Click on the Organisations menu button
  3. Find the connection request in the Organisations menu.
  4. If you are to accept their connection request then in the People Group drop down choose a group that is most appropriate for them to be assigned to. Remember that the group they are assigned to decides the permissions, data, and functionality that they are allowed to access for the organisation.
  5. Click on the Accept button to allow the person to be connected, or otherwise click on the Decline button.

 

A notification will be sent to the person advising whether they are now connected to your organisation or not. If you accepted their connection request then the person will appear with the organisation's profile under the People section. For that person they will be able to see your organisation listed in their Organisations menu when they are logged into the platform. The person will be able to see and access different aspects of the organisation based on the People Group they are assigned to, the group's permissions, and the data sharing policy assigned to the group. The data sharing policy also determines what products they are allowed to see and potentially purchase.

Accept Or Decline An Employee Connection Request With Your Organisation

When a person requests to connect with your organisation as an employee, their request can either be accepted or declined by another person already connected to the organisation who is either an administrator, or assigned to a People Group that has the "Connect People" permission set to Yes. When this occurs these authorised people will be able to see the connection request from within the Organisations menu, or receive a notification if they are allowed to be sent the organisation's notifications. If you are allowed to see the organisation's connection requests follow these steps below to resolve these requests:

  1. Login to the SQUIZZ.com platform from the Home page or mobile app.
  2. Click on the Organisations menu button
  3. Find the connection request in the Organisations menu. 
  4. View the employee code if they gave one. Verify that this is the correct code based on your method of issuing and managing employee codes.
  5. If you are to accept their connection request then in the People Group drop down choose a group that is most appropriate for them to be assigned to. Remember that the group they are assigned to decides the permissions, data, and functionality that they are allowed to access for the organisation. Be sure who they are before accepting the connection, or otherwise assign them to a more restrictive People Group.
  6. Click on the Accept button to allow the person to be connected, or otherwise click on the Decline button.

A notification will be sent to the person advising whether they are now connected to your organisation or not. If you accepted their connection request then they will be able to see your organisation listed in the Organisations menu when they are logged into the platform. Additionally since they are connected to the organisation as an employee then they will be able to assign the organisation to conversations, allowing the organisation name to display their messages, as well as their position title.

Once an employee is connected with your organisation we would recommend setting their position title, description, and start date, which can be done by finding them within the organisation's profile, under the People area, then clicking on the relationship link.

Disconnect A Person From Your Organisation

If you wish to disconnect a person from your organisation you must be either an administrator of the organisation, or assigned to a people group with the "Disconnect People" permission set to Yes. Once you have permission to disconnect people follow these steps to do so:

  1. Login to the SQUIZZ.com platform from the Home page or mobile app.
  2. Click on the Organisations menu button
  3. Scroll and locate your organisation.
  4. Click on the Profile button.
  5. Within the organisation profile click on the People button.
  6. Find the person you wish to disconnect and click on the Relationship link.
  7. Click on the Disconnect button.

The person will be disconnected from the organisation and no longer appear within the People area of the profile. Additionally the person will no longer have access to the data, features of the organisation based on the permissions previously assigned to them via the people group they were in.

Create A People Group In Your Organisation

To create a People Group within your organisation you must be an administrator of the organisation. Once you are an administrator follow these steps to create a new people group:

  1. Login to the SQUIZZ.com platform from the Home page or mobile app.
  2. Click on the Organisations menu button
  3. Scroll and locate your organisation.
  4. Click on the Profile button.
  5. Within the organisation profile click on the People button.
  6. Next to the People Group drop down click on the Add button.
  7. In the Organisation People Group dialog in the People Group Label textbox set a name for the group that allows other people to easily identify the kind of people assigned to it.
  8. In the People Group Description text area type a description of the group that explains further who the group represents.
  9. Under the Person Permissions section change the permissions based on how much data, access, and responsibilities the people assigned to the group are allowed to have. Read the descriptions of these permissions in the preceding section on the page to understand what each permission controls.
  10. For the View People Groups settings select the people groups that people will be able to see when assigned to your new group. This controls who can see who within the organisation.
  11. For the View Organisation Groups settings select the organisation groups that people will be able to see when assigned to your new group. This controls the organisations that the people assigned to this new group will be able to see.
  12. Click on the Save button.

The new group you created will be added to the People Groups drop down, and you may be able to start assigning existing people connected to the organisation to your new group, by clicking the relationship link against a person, and selecting the people group to assign them to.

Modify A People Group In Your Organisation

To modify an existing People Group within your organisation you must be an administrator of the organisation. Once you are an administrator follow these steps to modify an existing people group:

  1. Login to the SQUIZZ.com platform from the Home page or mobile app.
  2. Click on the Organisations menu button
  3. Scroll and locate your organisation.
  4. Click on the Profile button.
  5. Within the organisation profile click on the People button.
  6. In the People Group drop down select the group that you wish to modify.
  7. In the Organisation People Group dialog in the People Group Label textbox set a name for the group that allows other people to easily identify the kind of people assigned to it.
  8. In the People Group Description text area type a description of the group that explains further who the group represents.
  9. Under the Person Permissions section change the permissions based on how much data, access, and responsibilities the people assigned to the group are allowed to have. Read the descriptions of these permissions in the preceding section on the page to understand what each permission controls.
  10. For the View People Groups settings select the people groups that people will be able to see when assigned to the group. This controls who can see who within the organisation.
  11. For the View Organisation Groups settings select the organisation groups that people will be able to see when assigned to the group. This controls the organisations that the people assigned to this new group will be able to see.
  12. Click on the Save button.

The group will be updated within the People Groups drop down, and for the people who are assigned to the group and logged into the platform it will take up to 15 minutes for the permissions to apply, or otherwise they will apply immediately the next time those people log into the platform.

Delete A People Group From Your Organisation

To delete an existing People Group within your organisation you must be an administrator of the organisation. Once you are an administrator follow these steps to delete an existing people group:

  1. Login to the SQUIZZ.com platform from the Home page or mobile app.
  2. Click on the Organisations menu button
  3. Scroll and locate your organisation.
  4. Click on the Profile button.
  5. Within the organisation profile click on the People button.
  6. In the People Group drop down select the group that you wish to delete.
  7. Click on the Remove button.
  8. In the Delete People Group dialog select another people group that you want to reassign all people who are currently assigned to the group being deleted.
  9. Click on the OK button.

The group will be removed from the People Groups drop down. he people who are assigned to the group will be reassigned to the selected group. For the people re-assigned to the other group and logged into the platform it will take up to 15 minutes for the permissions to apply from their new group, or otherwise the permissions will apply immediately the next time those people log into the platform.

Set Details Of Person's Relationship To Your Organisation

To set details about a connected person's relationship with your organisation you must first either be an administrator of the organisation, or you must be assigned to a people group where the "Modify Persons Details" permission is set to Yes. Once you have permission follow these steps to set details about the relationship:

  1. Login to the SQUIZZ.com platform from the Home page or mobile app.
  2. Click on the Organisations menu button
  3. Scroll and locate your organisation.
  4. Click on the Profile button.
  5. Within the organisation profile click on the People button.
  6. Find the person who wish to find and click on the Relationship link.
  7. Within the About section for the Roles setting tick the roles that you wish the permission to have. Read the "Person's Relationship Details With An Organisation" section above to understand what the different roles do.
  8. In the People Group drop down select the group that the person is assigned to. Note that the group dictates the permissions that the organisation grants the person for accessing content, features and responsibilities for the organisation. Be careful which group you assign a person to.
  9. If the person is an employee of the organisation then set the following settings:
    1. Within the Position Title textbox type in their formal employment title of their position within the organisation.
    2. Within the Position Description textarea type in a description of their position within the organisation, as well as any key responsibilities, accomplishments, and other details about their position.
    3. In the Start Year select the year when they first started working for the organisation.
    4. In the Start Date select the date when they started working.
    5. If they are no longer working for the organisation then in the End Year select the year that they stopped working for the organisation.
    6. If they are no longer working for the organisation then in the End Date select the date that they stopped working for the organisation.
    7. In the Set An Email With Organisation checkbox select it if the person has their own Email address issued by the organisation.
    8. If the Set An Email With Organisation checkbox has been selected then in the Email textbox type in the email address used by them within the organisation.
  10. Click on the Update button.

The details of the person will be updated. If the person is set as an employee then their employment details will be updated when shown within the person's employee area in their summary window. Additionally if they are set as an employee then the person will be to assign the organisation to conversations allowing the organisation's name and their position title to display above each of their messages.

Assign A Person To Your Organisation's Customer Account

To assign a connected person to a customer account of your organisation you must first either be an administrator of the organisation, or you must be assigned to a people group where the "Modify Persons Details" permission is set to Yes. Once you have permission follow these steps to assign a customer account:

  1. Login to the SQUIZZ.com platform from the Home page or mobile app.
  2. Click on the Organisations menu button
  3. Scroll and locate your organisation.
  4. Click on the Profile button.
  5. Within the organisation profile click on the People button.
  6. Find the person who wish to find and click on the Relationship link.
  7. Click on the Customer Accounts button.
  8. In the Customer Account Code textbox type in the code of the customer account that you wish assign the person to.
  9. Click on the Add button.

The customer account will appear in the list of accounts within the relationship dialog. For the person they will receive a notification advising that they been assigned to the account. The person will also be able to see the customer account in the Accounts menu. The person will be able to view the details of the customer account, load records such as invoices, sales orders, payments or credits. The person may also be able to submit sales orders against the account, if they have permission to create sales orders.

Assign A Person To Your Organisation's Supplier Account

To assign a connected person to a supplier account of your organisation you must first either be an administrator of the organisation, or you must be assigned to a people group where the "Modify Persons Details" permission is set to Yes. Set A Person As A Sales Representative Within Your Organisation

To assign a connected person to a sales representative record in your organisation you must first either be an administrator of the organisation, or you must be assigned to a people group where the "Modify Persons Details" permission is set to Yes. Once you have permission follow these steps to assign a sales representative record:

  1. Login to the SQUIZZ.com platform from the Home page or mobile app.
  2. Click on the Organisations menu button
  3. Scroll and locate your organisation.
  4. Click on the Profile button.
  5. Within the organisation profile click on the People button.
  6. Find the person who wish to find and click on the Relationship link.
  7. Click on the Sales Representatives button.
  8. In the Sales Rep Code textbox type in the code of the sales representative that you wish assign the person to.
  9. Click on the Add button.

The sales representative record will appear in the list of records within the relationship dialog. For the person they will receive a notification advising that they been assigned to the sales representative. The person will be able to view the details of the customer account assigned to the sales representative record, load records such as see records such as invoices, sales orders, credits, payments from the organisation's connected business system. The person may also be able to submit sales orders against the accounts that are assigned to the sales representative record, if they have permission to create sales orders for the organisation.

Set A Person As A Purchaser For Your Organisation

To assign a connected person to a purchaser record in your organisation you must first either be an administrator of the organisation, or you must be assigned to a people group where the "Modify Persons Details" permission is set to Yes. Once you have permission follow these steps to assign a purchaser record:

  1. Login to the SQUIZZ.com platform from the Home page or mobile app.
  2. Click on the Organisations menu button
  3. Scroll and locate your organisation.
  4. Click on the Profile button.
  5. Within the organisation profile click on the People button.
  6. Find the person who wish to find and click on the Relationship link.
  7. Click on the Purchasers button.
  8. In the Purchaser Code textbox type in the code of the purchaser that you wish assign the person to.
  9. Click on the Add button.

The purchaser record will appear in the list of records within the relationship dialog. For the person they will receive a notification advising that they been assigned to the purchaser. The person will be able to view the details of the supplier accounts assigned to the purchaser record, load records such as purchase orders from the organisation's connected business system. The person may also be able to submit purchase orders against the accounts that are assigned to the purchaser record, if they have permission to create purchase orders for the organisation.

Set A Person As An Administrator Within Your Organisation

To make a person connected to your organisation become another administrator you must first either be an administrator of the organisation itself, or you must be assigned to a people group where the "Modify Persons Details" permission is set to Yes. Once you have permission follow these steps to make another person an administrator:

  1. Login to the SQUIZZ.com platform from the Home page or mobile app.
  2. Click on the Organisations menu button
  3. Scroll and locate your organisation.
  4. Click on the Profile button.
  5. Within the organisation profile click on the People button.
  6. Find the person who wish to add as an administrator and click on the Relationship link under their name.
  7. In the Roles section click the checkbox Administrator
  8. Click the Update button at the bottom of the relationship dialog

The person will now become an administrator of the organisation and have the ability to modify many aspects of the organisation's profile. It is highly recommended to allow only highly trusted people to become administrators, and limit the amount of administrators to only a few people. It is also recommended that an organisation has more than 1 administrator, so that in case one administrator forgets their credentials and cannot log into the platform, that another administrator can still manage the organisation and connect the other person to the organisation again (should they need to sign up again with different credentials).
